Compliance with I-9 Form Requirements and Associated Penalties
Ensuring compliance with federal regulations regarding the I-9 Form is a critical responsibility of all departments.
Effective January 2025, departments that permit employees to work without completing the I-9 Form will be charged a penalty fee. Civil penalties for I-9 violations can range from $281 to $2,789 per instance. The University will apply fees to departments based on the number of individuals working in your area without a completed I-9.
This is a serious compliance matter. Federal law requires that the I-9 Form be completed and verified by Human Resources within three days of beginning work. Failure to adhere to this requirement exposes the University to significant legal risks and reflects negatively upon our institutional commitment to compliance and accountability.
The Executive Leadership Team is partnering with Human Resources to monitor this issue closely. Starting in January 2025, Human Resources will provide weekly reports identifying any individuals who still need to complete the I-9 process. Departments with violations will be held accountable, and fees will be assessed accordingly at the end of the semester.
Your cooperation is essential to protecting the University and its commitment to regulatory compliance. Please take immediate steps to ensure that no employees begin work without prior Human Resources approval confirming their I-9 completion.
